Program Activities & Events Registration Procedures and Forms
Included in the calendar are events operated by Girl Scouts Western Pennsylvania (GSWPA), programs offered by GSWPA partners and programs offered at other organizations. Check each event to determine if you are to register with GSWPA or the facility that is providing a program.
All GSWPA operated event dates, times, and locations are subject to change or cancellation, depending on the number of registrations received, weather or other circumstances. Scholarships are available to all registered girl members for GSWPA operated events.

How to Register for Programs/Events Online
We've provided step by step instruction manuals to help individuals and troop leaders register online for programs and trainings.
Registration Procedures for GSWPA Operated Events
- Registrations are accepted on a first-come, first-served basis. Events fill quickly – be sure to register early.
- All reservations are processed online or in the Edinboro office by mail or fax. Verbal, email or telephone reservations will not be accepted.
- Send the full fee, or financial assistance request, with the reservation form. If reserving multiple events, send one check per event.
- Forms: Complete the S’more Fun Events Reservation Form for girls attending events alone, with a troop or with a family member. Girls ages 5-17 who are not currently registered as Girl Scout members are to add $12 to the event fee to cover the annual membership dues with Girl Scouts of the United States of America. The membership year is October 1st through September 30th. Once registered as a Girl Scout, girls will receive information about many more events and opportunities in which they may participate.
- Detailed confirmation material will be sent upon receipt of the event registration to girls/adults. Receipt of confirmation material does not guarantee that the event will meet the minimum participant requirement to operate.
- All registration correspondence, including confirmation materials, will take place by e-mail if an e-mail address is provided on the event registration form. Write neatly. If an e-mail address is not provided, correspondence will take place by mail.
- All incoming registration checks are receipted prior to being entered in the event registration system. Do not assume that you are registered for an event if the check is cashed.
- Once an event is full, registrants will be placed on a wait list, notified of their status and given options to: remain on the wait list, reschedule or cancel. New sessions may also be scheduled for those events that fill quickly.
Cancellation and Refunds
- If the minimum participant requirement for the event has not been met – the event will be cancelled two weeks prior to the event. Registrants will be notified immediately.
- All GSWPA operated event dates, times and locations are subject to change or cancellation, depending on the number of registrations received, weather or other circumstances.
Refund Policy
Refunds will be given when:
- GSWPA cancels the event.
- Participants cancel at least five weeks prior to an event.
- The participant cannot attend due to a medical reason. A written request for a refund, including a physician’s statement, is sent by the parent/guardian within two weeks of the event.
- The participant cannot attend due to a family emergency. A written request for a refund, including an explanation of the emergency situation, is sent by the parent/guardian within two weeks of the event.

Notification for Accounts Receivable Conversion (ARC)
Checks received by Girl Scouts Western Pennsylvania may be converted into an electronic debit for clearing. The creation of an electronic debit requires Girl Scouts Western Pennsylvania to destroy the original check for privacy reasons. You will not be receiving your check back from the bank.
